Terms and Conditions

1. Who we are
Great Pet Vet is operated by Great Pet Software, LLC, a limited liability company registered in Oklahoma, with its registered office at 4200 N Classen Boulevard, Suite 210, Oklahoma City, OK 73118.
We make the software your veterinary clinic uses to take bookings, run its schedule and keep patient records. Throughout these terms, "we" means Great Pet Software and "the clinic" means the practice you book with.
We are not a veterinary practice. We do not employ veterinarians, we do not provide care or advice, and we are not party to the consent you give before a procedure. When you book through Great Pet Vet, you are booking with the clinic.
Questions about these terms: hello@greatpetvet.com
2. Accepting these terms
By creating an account or booking an appointment through Great Pet Vet, you agree to these terms. If you do not agree, do not use the service.
You must be at least 18 years old to hold an account. If you are booking for a pet you do not own, you confirm the owner has asked you to.
Your clinic has its own policies — cancellations, deposits, and the consent you sign before a procedure. Those sit alongside these terms. Where the two disagree about the care itself, the clinic's policies apply.
We update these terms from time to time. If a change materially affects you, we will tell you before it takes effect.
3. Your account
You sign in with a six-digit code sent to your email, or through Google or Apple. There is no password — which also means anyone with access to your inbox can reach your account. Keep it secure.
Sign-in codes expire, and they are single use. Do not forward one to anyone, and be aware that we will never ask you for a code by phone or email.
You are responsible for what happens under your account, and for keeping your details current. If your email or phone number changes and you do not update it, the clinic may not be able to reach you when it matters.
One account, one person. Do not share it, and do not create an account for someone else without asking them.
Tell us at support@greatpetvet.com if you think someone else has access, and we will lock it.
4. Booking appointments
A booking is confirmed once you complete it and receive your check-in pass. Until then, it is not a booking.
If you pick a day before you have an account, we hold that place for 15 minutes while you confirm your email address. If you have not confirmed it by then, the place is released and offered to others.
Each appointment type has an intake form. You need to complete it before the visit, and the answers matter clinically — they inform anaesthesia and the care your pet is given on the day.
The details you give about your pet decide which slot you are offered. Species, sex and weight affect what the clinic can take on a given day, so an inaccurate weight or an out-of-date record can mean your booking cannot go ahead when you arrive.
The clinic decides which veterinarian takes your appointment. You can see who is assigned, but you cannot choose or change them through the service.
When a day is full, you may be able to join a waitlist. A waitlist entry records that you wanted that day. It is not a booking, it does not hold a place, and there is no guarantee one comes free.
5. Cancellations, reschedules and no-shows
You can reschedule or cancel from the appointment in your account. We do not charge you for doing so.
Please give as much notice as you can. Surgical places are limited, and a place released early is offered to someone else — often to a pet on the waitlist for that day.
Your clinic may have its own policy on late cancellations, deposits or missed appointments, and may charge you under it. That is between you and the clinic; we do not set or collect those charges.
If your pet is unwell, call the clinic before you travel rather than cancelling silently. Surgery on an unwell animal carries real risk, and the clinic would rather move the date.
Repeated missed appointments may lead a clinic to decline future bookings.
6. Prices and payment
Spay, neuter and dental prices are set by weight. The price you see when booking is an estimate based on the weight you entered.
Your pet is weighed on arrival, and the clinic confirms the final price with you before your pet is admitted. Additional treatments such as vaccines or a microchip are fixed and do not change.
Payment is taken by the clinic directly. We do not process payments, we do not hold your card details, and no money moves through Great Pet Vet.
Prices are set by each clinic, not by us. A price shown in the service can be wrong or out of date; the price the clinic confirms at admission is the one that applies.
7. Veterinary care is between you and the clinic
Every clinical decision is the clinic's: whether to operate, what anaesthetic to use, what happens if something is found during a procedure, and what aftercare your pet needs. We are not consulted and we are not qualified to be.
The consent you give before a procedure is an agreement between you and the clinic. It is not something we are party to, and nothing in the service replaces it.
Nothing shown in Great Pet Vet is veterinary advice. Aftercare notes, intake questions and appointment details are records of what the clinic told you, not guidance from us.
This service is not for emergencies. If your pet needs urgent help, call your clinic or an emergency veterinary service. Do not book an appointment and wait.
8. Your pet's information
You give us information about your pet so the clinic can care for them: species, breed, sex, date of birth, weight, medical history and current medication.
That record belongs to the clinic. We hold it on their behalf, and the clinic decides what is collected, who sees it and how long it is kept.
Keep it accurate. A missing medication or an old weight is not an administrative detail — it changes what is safe to do under anaesthesia.
The clinic's team can see your pet's record, including the veterinarian assigned on the day, the staff who check you in and the staff who write up the visit.
How we handle this information is set out in our Privacy Policy.
9. Acceptable use
Use the service for booking and managing care for pets you are responsible for. That is what it is for.
Do not give false information about yourself or your pet, book on someone's behalf without their say-so, or hold places you do not intend to use.
Do not try to reach records that are not yours, probe the service for weaknesses, scrape it, or automate your way around it. If you find a security problem, tell us at support@greatpetvet.com — we would rather hear it from you.
Do not use the service to abuse or threaten clinic staff. Clinics can refuse service, and we can close accounts.
10. Communications
Some emails are part of the service: your sign-in code, booking confirmations, changes to an appointment, reminders before a visit, and aftercare notes. While you have an account or an upcoming booking, you cannot opt out of these — they are how the clinic reaches you.
Anything promotional is separate and optional, and you can unsubscribe from it without affecting your bookings.
We currently send by email only. If we add another channel, we will ask before we use it.
Email is not reliable enough for anything urgent. If something is time-critical, call the clinic.
11. Suspension and termination
You can close your account at any time by asking us at support@greatpetvet.com. If you have an upcoming appointment, cancel it with the clinic first so the place can go to someone else.
We may suspend or close an account that breaches these terms, is being used fraudulently, or puts other people, their pets or the service at risk. Where we reasonably can, we will tell you why.
A clinic can decline to treat your pet or to take further bookings from you. That is their decision to make and their reason to give.
Closing your account does not delete your pet's medical record. The clinic is required to keep those for a period set by law, and it stays with them.
12. Disclaimers
The service is provided as it is. We do not promise it will always be available, uninterrupted, or free of errors, and we may take it down for maintenance.
Availability shown in the service reflects what the clinic has published. It can change, and a slot can stop being available between you seeing it and booking it.
We are not responsible for the care your pet receives, for a clinic's decisions, prices, or opening hours, or for a clinic ceasing to operate.
We do not warrant that the service is fit for any purpose beyond booking and managing appointments with a clinic that uses it.
13. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential loss, loss of profit, or loss of data arising out of your use of the service.
We are not liable for the clinical care your pet receives. Claims about treatment, its outcome, or the consent you gave are between you and the clinic.
Where we are found liable, our total liability to you is limited to the greater of the amount you paid us in the twelve months before the claim, or one hundred US dollars. We do not charge pet owners to use Great Pet Vet, so in most cases this will be the latter.
Nothing here limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
14. Changes to these terms
We may change these terms as the service changes or the law requires.
The date at the top tells you when they were last updated. If a change materially affects your rights, we will give you notice by email before it takes effect.
If you keep using the service after a change takes effect, you accept it. If you do not, close your account.
15. Governing law and disputes
These terms are governed by the laws of the State of Oklahoma, without regard to its conflict of law rules.
If something goes wrong, contact us first at support@greatpetvet.com. Most problems are quicker to fix directly than formally, and we would rather fix them.
If we cannot resolve it, the state and federal courts located in Oklahoma County, Oklahoma have exclusive jurisdiction, and you and we both submit to it.
Nothing here removes a right you have under the consumer law of the state you live in.
